ERP & Statutory Accounting API Integration: Stock, Delivery Notes and e-Invoicing

The two-way data architecture that synchronises warehouse movements, weighbridge readings and purchase delivery notes with ERP and statutory accounting systems in real time.

ERP & Statutory Accounting API Integration: Stock, Delivery Notes and e-Invoicing
Engineering summary: This technical note explains, with architecture diagrams, how warehouse handhelds, digital weighbridge readings and e-commerce orders are integrated two-way and error-free with statutory ERP and accounting systems.

The cost of manual accounting entry

The most common operational bottleneck in a growing business is that what physically happens - a weighbridge reading, a stocktake, goods received - runs separately from the statutory accounting record. When delivery note numbers written by the warehouse onto paper or a spreadsheet are keyed into the ERP by an accountant at the end of the day:

  • duplicate or missing stock entries occur,
  • unexplained differences appear at month end between physical stock and the statutory inventory,
  • statutory e-invoice and electronic delivery note deadlines turn into penalty risk through manual delay.

The solution: an event-driven integration hub

The integration layer we build turns every transaction coming from the field into an event. Events are delivered to the ERP API services in a controlled way through a queue (RabbitMQ or Redis).

01
Field & warehouse data

Raw weighing and goods-receipt data from an RFID antenna, a barcode reader or a weighbridge terminal is written to a local queue.

02
Schema & rule validation

Account codes, tax numbers, VAT rates and stock card matches are filtered through the validation engine.

03
Statutory ERP record

A signed request is sent to the accounting API endpoint (REST or SOAP), and the official document number returned is passed back to the field as confirmation.

Method comparison

Criterion Traditional manual process QP Solid API integration
Speed Batch entry at end of day (6-8 hours behind) Live within milliseconds of the transaction
Error rate 4% to 8% typographic error on manual entry 0% (barcode-driven and rule-validated)
e-Document compliance Manual approval through the tax authority portal Automatic generation, sealing and archiving
Month-end reconciliation 3-5 days of cross-checking spreadsheets One click, reconciled with zero differences

Example integration flow (Python / REST API)

From a field weighing to a statutory delivery note
# Runs when warehouse or weighbridge data is confirmed
payload = {
    "account_code": "M-004821",
    "document_type": "WholesalePurchaseDeliveryNote",
    "date": datetime.utcnow().strftime("%Y-%m-%d"),
    "lines": [
        {
            "stock_code": "STK-CATTLE-82",
            "quantity": 582.4,
            "unit": "KG",
            "unit_price": 240.00,
            "vat_rate": 1
        }
    ]
}
response = erp_client.post("/api/v2/delivery-note/create", json=payload)
# The official delivery note number returns to the field immediately
Result: the disconnect between field operations and the statutory books disappears, and management can watch profitability and cash flow in real time.
